6611 - STUDENT ACTIVITY FUND

The Board has formulated Policy 6611 - District-Supported/Sponsored Student Activity Accounts which governs the management and control of student activity funds that are District-supported or District-sponsored. The following guidelines should be used to implement this policy.

  1. Financial reports for student-activity funds shall be prepared as requested by the advisor.
  2. Fund-raising projects for any student activity shall, in general, contribute to the educational experience of students and shall not conflict, but add to, the instructional program.
  3. All sales projects or programs must be approved by the principal and the District Administrator at least two (2) weeks prior to the sale or event.
  4. Receipts and expenditures must be coded by WUFARS Classification.
  5. All expenditures from a student-activity fund shall be in accordance with the budget.
  6. Expenditures must be approved by the appropriate student activity group advisor.
  7. Student-activity funds shall not be used for any purpose which represents an accommodation, loan, or credit to Board employees or other persons. Postdated checks may not be accepted and checks may not be cashed for anyone.
  8. Board employees or others may not make purchases through a student body in order to take personal advantage of student-body purchasing privileges.
  9. No student-activity organization shall be obligated for purchases made by students, faculty, and/or others unless supported by a written purchase order signed by the Building Principal.
  10. All monies collected should be deposited with the school office by the end of the day on which the money was collected or in a designated depository on the day on which the money was collected if the school office is closed.
  11. Funds collected through the school office will be processed through either Fund 10 or Fund 21.
  12. The disposition of unspent activity funds will be determined by the class officers, activity sponsor, and the principal.
  13. An internal audit of the financial accountability and compliance of student activities policies shall take place on a regular basis.
