6423 - USE OF CREDIT CARDS
Employees will abide by the following guidelines when using a District credit card:
- All credit cards issued to and in the name of the School District shall be held and supervised by the Director of Business Services.
- Employees requiring the use of school credit cards shall request such cards from the Director of Business Services.
- Each request for use of a school credit card shall contain:
- date needed;
- date to be returned;
- purpose;
- authorization.
- After use, school credit cards are to be returned to the District Office along with appropriate receipt copies of all charges.
- Credit cards may only be used for the purchase of the following types of goods and services for the District:
- transportation for authorized trips;
- lodging and meals for authorized trips or meetings;
- approved services, supplies, and equipment.
- The credit card is to be returned by the date specified in the authorization and be accompanied by documentation indicating the goods and services purchased, the amount(s) of the purchase, date(s) of purchase, and the District business to which each purchase relates.
- All credit card invoices shall be reviewed and documented in the same manner as other invoices (see AG 6320A - Purchasing). Credit card balances must be paid within sixty (60) days of the initial statement date.
- The staff member to whom a credit card is issued shall be responsible for its use and shall not allow the card to be used by anyone else or for any unauthorized purchases. Any unauthorized use shall subject the cardholder to disciplinary action in accordance with applicable law and District policy.
- Inappropriate or illegal use of the credit card and/or failure to strictly comply with the limitations and requirements set forth in these administrative guidelines may result in a loss of credit card privileges, disciplinary action, up to and including termination, personal responsibility for any and all inappropriate charges, including finance charges and interest assessed in connection with the purchase, and/or possible referral to law enforcement authorities for prosecution.
