Board of Education Office Procedures
The Board of Education office hours shall be from 7:30 a.m. to 4:00 p.m. on days that school is in session. When school is not in session, the Board office hours shall be from 7:30 a.m. to 2:00 p.m., except on weekends and board-approved holidays.
For purposes of this policy, "administrative employees" shall include the Superintendent, Treasurer, all principals, any assistant principals, curriculum coordinator, technology coordinator, assistant treasurer, Superintendent's Secretary, Supervisor of Building and Grounds, Supervisor of Transportation and any other employee on a contract pursuant to R.C. 3319.02 regarding other administrators.
When school is closed due to epidemic or public calamity (such as, hazardous weather conditions, inoperability of school buses or other equipment necessary to the school's operation, damage to a school building, and temporary circumstances due to utility failure), Administrative employees of the Board are not required to report for work during the number of calamity days Statewide by State law in any school year Yet, at times, administrative employees may be needed and may be requested to report to work as possible. For administrative employees, days of work missed beyond the number of allowable calamity days shall be made up.
The Superintendent's secretary shall keep a day book to record absences from work of all administrative employees and non-teaching employees who are not members of the bargaining unit (OAPSE). In the absence of the Superintendent's secretary, the Assistant Treasurer shall keep the day book. The day book shall include a record of each day that an employee is not at work and shall indicate the type of leave taken by the employee. Types of leaves shall include sick leave, vacation leave, personal leave, professional leave, and professional meetings.
Administrative employees and non-teaching employees who are not bargaining unit members shall obtain approval of the Superintendent for vacation, personal, and professional leave, and for professional meetings in advance of the days to be taken. Approval shall be requested upon a leave form. Upon return from sick leave, all administrative employees and non-teaching employees who are not bargaining unit members shall complete a sick leave form indicating the days of absence due to sick leave and the reason for the sick leave use.
Employee absences from employment duties for more than one (1) hour shall be reported by the absent employee to the keeper of the day book, who shall note the date and time of the absence in the day book. Employee absences from employment duties for occasional appointments requiring absence of two (2) hours or less shall not require any leave to be used, unless such absences becomes habitual. Any hourly rate employees shall make up hours of absence for which no leave is charged, and the time shall, if at all possible, be made up during the same payroll period.
Advance notice shall be given to the Board when the Superintendent or Treasurer plans to take five (5) or more consecutive vacation days.
For the Superintendent and Treasurer, the number of vacation days and sick days shall be reported to the Board at the beginning of each school year.
The Superintendent’s and Treasurer’s use of vacation days and sick days shall be reported to the Board quarterly. When the Superintendent or Treasurer are on sick leave for three (3) consecutive days, the Superintendent’s secretary shall report this information to the Board President.
The Superintendent and Treasurer shall present the Board with a monthly schedule to indicate planned absences including attendance at workshops and conferences. This schedule shall be presented to the Board at each regularly scheduled Board meeting.
The Superintendent and Treasurer shall perform their duties in such a manner as to fulfill the requirements of their individual job descriptions and to fulfill their duties as outlined in the Ohio Revised Code.
