Position: Secretary
Reports to: Principal
Employment Status: Regular/Full-time
Description: The secretary acts, under direction of the administrator, to maintain all necessary school records, and to provide a reception center for the total school operation.
NOTE: The below lists are not ranked in order of importance
RESPONSIBILITY:
The secretary is responsible directly to the building principal or other administrator assigned to his/her supervision.
QUALIFICATIONS:
- High School Diploma.
- Postgraduate work preferred in secretarial and business science.
- Dependable, flexible, and pleasant in assisting administrators, teachers, other staff, parents, and students.
- Technology skills that include but are not limited to creating and management of student information systems, spreadsheets, word documents, and other office equipment.
- Must be able to work without close supervision taking on responsibility and anticipating the needs of the position.
- Organized and efficient in the performance of all tasks.
- All other qualifications as approved by the Board of Education and in accordance with the law.
- Typing/word processing skills of 50 wpm or better with accuracy.
- Passing score or better on qualifying secretarial test.
JOB SUMMARY:
Under the direct supervision of the principal, with a broad framework of standard policies and procedures, perform and coordinate a variety of skilled secretarial and complex clerical work: serve in a lead capacity over clerical services for the school: under the direction to act as a receptionist in providing information and communications for a school: maintains, verifies, and reports on basic school data and records: serves as office manager to the school principal, requires the use of independent judgment and discretion in the interpretation and application of established site and district policies and procedures: performs related duties assigned.
KNOWLEDGE OF:
- Modern office methods and filing methods;
- English, grammar, spelling, punctuation, composition, and good vocabulary;
- Business letter writing and forms;
- Mathematics, record keeping, filing, and proofreading;
- Laws relating to district operations, schools, and children;
- The terminology used in schools, requisitioning, bookkeeping, and general office work;
- Basic computer operations;
- Personnel Services
ABILITY TO:
- Maintain harmonious professional and courteous relationships with administration, teachers, parents, and students;
- Interpret and explain laws, policies, and procedures pertinent to the functional operation of the school site;
- Coordinate activities, details, and multiple tasks efficiently and effectively:
- Communicate effectively and courteously: Deal with hostile, emotional, ill, or angry persons in an effective manner;
- Follow written and oral directions and learn new procedures rapidly;
- Post, check, and maintain files and records accurately;
- Make arithmetical calculations with speed and accuracy;
- Read and comprehend handwritten or typed documents and display screens of office machines:
- Lift and move light to medium-weight objects such as office supplies or presentation materials:
- Sit for sustained periods of time;
- Works on more than one task at a time;
- Concentrate on the current task in spite of distractions in an active, busy environment;
- Efficiently and effectively operate office machines, including a computer with keyboard and monitor, for sustained periods of time; Demonstrate manual dexterity necessary to operate calculator typewriter, and/or computer at the required speed and accuracy;
- Maintain regular, steady attendance.
EQUIPMENT OPERATED:
- Office equipment including computer, copier, folding machine.
- Office tools such as paper cutter, and staplers.
- Communications equipment (i.e., phone system, email system, intercom).
ADDITIONAL WORKING CONDITIONS:
- Occasional exposure to blood, body fluids, and tissue.
- Occasional exposure to high noise levels and office machine noise.
- Occasional interaction among unruly children.
TERMS OF EMPLOYMENT:
As specified in employee’s contract and in keeping with the negotiated agreement.
